Fundraising has become more important than ever to the success of the West Boca Raton High School Band. State funds simply do not cover the needs of the band. We must raise funds to subsidize the band to continue to provide an excellent music education program to our children. The future of the music program at WBHS depends on it. We currently have two types of fundraising, Fair Share and General. Each student is encouraged to participate in both Fair Share Fundraising and the General Band Fundraising as both are used to offset fees for both the current and upcoming seasons.

 

Fair Share Fundraising:  Fair Share fundraisers are designed to assist band families with the annual fees. These fundraisers result in 80% of the net profit going directly into your personal band account as a credit against fees and the remaining 20% goes into the General Band Fund. Fair Share Credits are determined and posted to your account upon the closeout of the fundraiser.

 

General Fundraising:  General Fundraisers are designed to assist the program with general band expenses. This type of fundraising also benefits your students directly by giving us the funds to repair/replace equipment as needed, as well as other general band expenses which ultimately allow us to manage the escalation of fees for upcoming seasons.

 

The following list is potential fundraisers the band may conduct during the year.

 

Letter Writing Campaign                           July – October                                              Fair Share

This is one of the Vanguard’s easiest and most successful Fair Share fundraisers each year. It is through this fundraiser many band families have paid their fees for the year. We provide a template letter that just needs to be signed by the band member. You return to us 10 signed letters, with envelopes stamped and addressed to those you would like to solicit. We log the letters, insert a self addressed stamped envelope back to the school and out the letters go. Before you know it, the donations begin pouring in. It’s that easy. This fundraiser begins during band camp and continues through October.

 

Bistro Food Sale                                  August – November                                           Fair Share

This is our “Cheesecake fundraiser” however last year’s brochure held much more than just cheesecakes… (pizza, quesadillas, pretzels, pies and cheesecakes to name a few.)  The brochures and selling usually begin just before Labor Day with a delivery date before Thanksgiving. This is a “Fair Share” fundraiser where 80% of monies received go directly into your personal band account and the 20% goes into the Directors Discretionary Account. The chair for this fundraiser coordinates the distribution of brochures, and ensures/secures volunteers to assist with order sorting upon delivery.

 

Gift Wrap                                    Thanksgiving – Christmas Eve                                   Fair Share

From the day after Thanksgiving till Christmas Eve we hold our Annual Gift Wrap Fundraiser.  We have 2 locations, one in front of Toys R Us in Mission Bay and one in front of Best Buy in Shadowood Plaza.  There will be several 4 hours shifts defined and students and parents will have the ability to sign up to work shifts based on availability.  This is a “Fair Share” fundraiser where 80% of monies received go directly into your personal band account and the 20% goes into the Directors Discretionary Account.  The way this fair share works is you are credited with work hours.  At the end of the fundraiser, the net profits earned are divided by the total number of hours worked by all volunteers to come to a per hour rate.  That rate is then applied against the hours you worked the fundraiser.  All family members are eligible to work so you could really rack up some good fair share $’s.

 

Bowling Tournament                                  Timing TBD                                                    General

The bowling tournament is an annual event fundraiser where we rent the Boca Bowling Alley for 4 hours on a Sunday.   The day is a great family day with refreshments, prizes, giveaways, raffles, etc.  We offer sponsorships of Lanes which in the past have included a sign, ability for up to 5 bowlers, Logo on T-shirts.

Concert Concessions:  At our Band camp preview, Winter Concert and Spring Concerts we set up and sell concessions….Water, cookies, chips, etc.  We are also looking into getting some Vanguard items such as our Flip Flops, pens, magnets, buttons etc.

 Football Game Concessions:  At all home football games we set up a table by the bleachers and sell Shout Outs which are messages to players, cheerleaders, fans, band members which are announced over the PA throughout the game.  We charge $2 per shout out.  We will also be selling our flip flops and will be trying to get Vanguard rain ponchos to capitalize on the Florida inclement weather during the game.

 The chairpersons need to ensure the table is set up, stocked and manned at each concert and concession stand eligible event.

 

LTM Cookouts                                       LTM Thursday’s                                                 General

One or Two Thursday each month is an LTM day, where the students come in just for the afternoon.  We offer a grab and go hotdog or hamburger at 2pm when school lets out. Assistance is needed with the coordination of staffing, setting up, getting donations for propane, hotdogs, hamburgers, rolls, etc and actually working the concession.  We need volunteers available around 12pm to Grill, and others to run the concessions.

 

Golf Tournament                                       Timing: TBD                                                    General

We would like to host a golf tournament in the spring. This can be a large fundraiser if we fill the course with foursomes. Additional money is gained by acquiring hole sponsors, side contests, mulligans, tips, etc.

 

Restaurant Nights                                        Ongoing                                                       General

Several local restaurants offer a share of profits on a specific night in return for the Band promoting the night and for patronage of the band families on the designated nights. The chairperson would be responsible for sourcing the restaurants, and distributing advertising to the group.
